Job Description

Job Summary:

Provides administrative support to Assistant Vice President (AVP) and group coordination for the Corporate Social Responsibility Department.

Primary Activities and Responsibilities:

Assist with calendar scheduling and manage the timely reply to e-mails and correspondence communicating on behalf of the AVP as appropriate.
Anticipate AVP priorities and needs to avoid conflicts and make arrangements by obtaining required input and materials in advance of being asked.
Monitor all correspondence to proactively ensure requested responses are resolved and returned in a timely manner and can be traced to final resolution.
Maintain positive relationships and open communications internally and with outside vendors, suppliers, organizations and customers.
Review expense reports and invoices to ensure appropriate documentation, accounting, processing and filing in accordance with record retention guidelines.
Make AVP travel arrangements and accommodations according to approved guidelines.
Provide coordination and support for AVP meetings including visitor, conference room and refreshment arrangements as requested.
Proactively prepare/obtain materials for meetings; including presentations, summary reports spreadsheets, graphs, giving history, etc.
Support miscellaneous activities and responsibilities as assigned by AVP including, but not limited to, event support and crisis/disaster recovery assistance.
Serve as office manager of department activities including the coordination of department calendars, agendas and meetings including recording and distributing minutes and pursuing the resolution of action items; Ensure technical and administrative support is provided to meet department needs including visitor, conference room and refreshment arrangements.
Manage the procurement and delivery of give-aways, promotional items, event items, materials and supplies.
Miscellaneous activities and responsibilities as assigned by manager.

Minimum Qualifications:

Bachelor’s degree from an accredited institution required
1 or more years of experience required in office management, administration/clerical

Equivalent Minimum Qualifications:

High School diploma/GED required
3 or more years of experience required in office management, administration/clerical

Knowledge and Skills:

Strong detail and deadline orientation
Microsoft Office skills
Organizing and coordinating skills
Ability to gather data, compile information and prepare reports
Ability to quickly assimilate to the business and culture while making immediate contributions
Ability to work as a member of cross-functional teams
Ability to manage multiple projects at the same time
Ability to take initiative, and act independently and calmly in fast-paced environments
Ability to analyze, develop, establish and maintain efficient office work flow and administrative processes
